Refund Policy – National Institute of Digital Education (NIDE)

IMPORTANT NOTICE — FEE COLLECTION & REFUND COMMUNICATION

National Institute of Digital Education (NIDE) is wholly managed, administered, and governed by NIDE E-Learning Private Limited. All course-related fees, including Reservation Fees, Course Fees, Attendance Deficiency Fees, Examination-related fees, Certification-related fees, and any other applicable fees, are collected and administered solely by NIDE E-Learning Private Limited under its own responsibility.

No third party, consultant, counsellor, agent, academic partner, certification partner, examination partner, placement partner, or any other external person or organisation is authorised to collect, process, approve, promise, determine, or refund any fee on behalf of NIDE unless expressly authorised by NIDE in writing.

Students must communicate directly and officially with NIDE for all matters relating to fees, payments, cancellations, refunds, fee adjustments, or any other financial matter. Students must not approach or rely upon any third-party partner, certification agency, examination partner, consultant, counsellor, agent, or other external person for the approval or processing of a refund or any fee-related decision.

Any verbal assurance, WhatsApp communication, personal commitment, informal representation, or financial undertaking provided by any third party shall not be considered an official commitment of NIDE unless expressly confirmed in writing by NIDE through its authorised official email communication channel.

All refund requests must be submitted directly to NIDE through its designated official email communication channel, i.e., admissions@nideofficial.com. Only NIDE shall review, approve, reject, calculate, and process refunds in accordance with this Refund Policy and the applicable course policies.

1. Purpose of the Policy

National Institute of Digital Education (NIDE) maintains this Refund Policy to provide students and prospective students with a clear and transparent framework regarding Reservation Fees, Course Fees, Attendance Deficiency Fees, Cancellation, Refund Eligibility, Placement Guarantee Refunds, and other applicable financial matters.

This Refund Policy shall be read together with the applicable Student Terms & Conditions, Placement Policy, Academic Regulations, Admission Policies, and Course-specific Policies, as applicable.

2. Reservation Fee

A Reservation Fee is an amount paid by a prospective student to:

  • reserve or block a seat in a particular course or batch;

  • retain a seat before final enrolment; or

  • retain an applicable Early Bird offer or other time-bound fee benefit.

The Reservation Fee is course-specific and may vary from course to course. It is not a fixed or uniform amount applicable to all NIDE courses.

The Reservation Fee is separate from the Course Fee until the student completes final enrolment. Where applicable, the Reservation Fee may be adjusted against the Course Fee at the time of final enrolment.

The terms relating to the Reservation Fee, including its amount, adjustment, validity, and refundability, shall be communicated for the relevant course, batch, or offer.

3. Course Fee

The Course Fee means the total fee payable for the selected course as communicated by NIDE at the time of enrolment.

Depending on the course, the Course Fee may include applicable components such as:

  • tuition and training charges;

  • practical charges;

  • laboratory charges;

  • examination and assessment fees;

  • certification fees;

  • examination or certification partner charges;

  • applicable software or tool charges included in the course; and

  • other course components expressly included in the applicable fee structure.

Not every component listed above is necessarily applicable to every course.

The applicable Course Fee and its included components shall be communicated to the student before or at the time of final enrolment.

NIDE does not maintain separate standard categories of registration fee or admission fee. Any amount payable towards the course shall be identified and communicated under the applicable fee category.

4. Cancellation Before Course Commencement

A student who has completed final enrolment may request cancellation and a refund of the eligible Course Fee where the cancellation request is submitted at least 15 calendar days before the official Course Commencement date.

The cancellation request must be submitted through NIDE’s designated official email ID, i.e., admissions@nideofficial.com.

The 15-day period shall be calculated in calendar days, not working days.

5. Refund for Approved Pre-Commencement Cancellation

Where a cancellation request is submitted and approved at least 15 calendar days before the Course Commencement date, the student shall be eligible for a refund of the applicable amount paid, subject to the following:

  • NIDE may deduct up to 20% of the total Course Fee of the enrolled course towards administrative, processing, enrolment, seat allocation, onboarding, documentation, payment processing, and related costs.

  • The maximum deduction shall be calculated with reference to the total Course Fee of the course and not merely on the instalment amount or partial amount paid by the student.

  • The applicable deduction shall be determined based on the total Course Fee of the course, irrespective of whether the student has paid the Course Fee in full or through an instalment/payment plan.

  • After applying the applicable deduction and adjusting any amounts that are otherwise non-refundable or payable by the student, the remaining eligible amount actually paid by the student shall be refunded.

  • Where the amount already paid by the student is less than the applicable deduction calculated on the total Course Fee, NIDE may adjust the refundable amount accordingly, subject to the terms of the applicable payment arrangement.

The refund shall be processed in accordance with the applicable refund-processing timeline specified in this Policy.

6. Cancellation Less Than 15 Calendar Days Before Course Commencement

A cancellation request submitted less than 15 calendar days before Course Commencement shall not ordinarily qualify for a standard cancellation refund.

Any exception may be considered solely at the discretion of NIDE Management based on the circumstances of the case.

Approval of an exceptional refund in one case shall not create an automatic entitlement or precedent for any other student.

7. No Cancellation Refund After Course Commencement

Once the course has commenced, no cancellation refund of the Course Fee shall ordinarily be provided.

This applies irrespective of whether the student:

  • attends or does not attend classes;

  • participates in academic activities;

  • accesses the LMS;

  • accesses recorded sessions;

  • attends orientation;

  • attends live classes;

  • completes assignments; or

  • voluntarily discontinues the course.

8. Course Commencement

For the purpose of this Policy, Course Commencement means the officially designated commencement of the student’s enrolled course or batch as communicated by NIDE.

Depending on the course structure, Course Commencement may include:

  • orientation;

  • induction;

  • the first academic class or session; or

  • the first official course activity.

The commencement date officially communicated by NIDE shall be treated as the applicable Course Commencement date for calculating the cancellation period.

9. Refund for Placement Guarantee Failure

A 100% refund of the eligible Course Fee shall be applicable only to a student who has been formally communicated by NIDE, through an official NIDE email channel at the time of enrolment, that the student is eligible under the Placement Guarantee model.

The official email communication shall specifically indicate that the student is covered under the Placement Guarantee and may be eligible for a 100% Course Fee refund if NIDE is unable to secure a qualifying placement within the applicable placement timeline, subject to the student’s fulfilment of all eligibility conditions specified in the applicable Placement Policy.

The Refund for Placement Guarantee Failure shall not be applicable to:

  • students enrolled under the Placement Assistance model;

  • students for whom Placement Guarantee eligibility has not been formally communicated by NIDE through an official email at the time of enrolment;

  • students relying solely on verbal assurances, telephone conversations, WhatsApp messages, messages from counsellors, informal communications, or representations made by any third party; or

  • students whose eligibility under the Placement Guarantee has been subsequently disqualified due to non-compliance with the applicable Placement Policy.

The absence of an official NIDE email confirming Placement Guarantee eligibility shall mean that the student is not covered under the Placement Guarantee Refund provision, irrespective of any verbal, informal, or third-party representation regarding placement or refund.

10. Placement Guarantee Eligibility and Refund Conditions

A student formally covered under the Placement Guarantee model shall become eligible for the applicable refund only if all conditions prescribed under the applicable Placement Policy are satisfied.

These conditions may include:

  • successful completion of 100% of the prescribed course curriculum within the stipulated timeline;

  • fulfilment of the minimum attendance requirement, i.e., 80%;

  • completion of all required assignments, practicals, workshops, projects, capstone projects, mock tests, and mock interviews;

  • achievement of the prescribed qualifying scores;

  • successful completion of any required internship;

  • active participation in resume building, interview preparation, career guidance, and placement activities;

  • application to suitable job opportunities shared by NIDE;

  • attendance at scheduled interviews;

  • compliance with professional conduct and disciplinary requirements;

  • compliance with all applicable placement procedures; and

  • legal eligibility to work in India.

Where a student satisfies all applicable Placement Guarantee conditions and NIDE is unable to secure at least one qualifying placement offer within the placement timeline specified in the applicable Placement Policy, the student shall be eligible for a 100% refund of the eligible Course Fee, subject to verification and formal confirmation by NIDE.

The placement timeline shall be calculated in accordance with the applicable Placement Policy.

The detailed eligibility conditions, definition of a qualifying placement, applicable placement timeline, student obligations, and other placement-related requirements shall be governed by the Placement Policy.

This refund provision is not applicable to Placement Assistance courses.

11. Failure to Secure Placement Within the Applicable Timeline

Where:

  1. the student is formally covered under the Placement Guarantee model;

  2. the student has satisfied all applicable Placement Guarantee eligibility requirements; and

  3. NIDE is unable to secure at least one qualifying placement offer within the placement timeline specified in the applicable Placement Policy,

the student shall become eligible for the Placement Guarantee Refund, subject to verification and confirmation by NIDE.

The applicable placement period shall be calculated in accordance with the applicable Placement Policy.

12. Processing of Placement Guarantee Refund

A Placement Guarantee Refund shall:

  • not be initiated before the applicable placement period has fully expired;

  • be subject to verification of the student’s eligibility;

  • require formal confirmation of refund eligibility by NIDE; and

  • be processed within 45–60 NIDE working days from the date on which refund eligibility is formally confirmed by NIDE.

13. Placement Assistance Courses

NIDE may offer Placement Assistance courses that include services such as:

  • career guidance;

  • resume development;

  • interview preparation;

  • mock interviews;

  • employer opportunities;

  • interview coordination; and

  • related career-support activities.

Placement Assistance does not constitute a guarantee of:

  • employment;

  • salary;

  • designation;

  • employer;

  • location;

  • joining date; or

  • any particular career outcome.

Accordingly, no refund shall be applicable merely because a student does not secure employment or is dissatisfied with a placement outcome under a Placement Assistance course.

14. Advanced Certificate Courses

Advanced Certificate Courses are offered under the Placement Assistance model, unless NIDE expressly communicates otherwise in writing. Accordingly, no placement-based refund shall be applicable to such courses.

NIDE may continue to provide best-effort placement assistance, subject to the student’s eligibility, participation, conduct, and applicable employer requirements.

15. Attendance Deficiency Fee

An Attendance Deficiency Fee is a separate fee that may become applicable where a student’s attendance is deficient and payment of such fee is required to satisfy applicable examination eligibility requirements.

The Attendance Deficiency Fee is separate from the Course Fee.

Once the Attendance Deficiency Fee has been paid and the student has thereby obtained or completed the applicable examination eligibility process, the fee shall be strictly non-refundable.

No refund shall be applicable where:

  • the student subsequently chooses not to appear for the examination;

  • the student fails to attend the examination;

  • the examination date has been confirmed;

  • the student’s details have been submitted to the applicable examination or certification partner;

  • the student has been made eligible for the examination through payment of the Attendance Deficiency Fee; or

  • the student otherwise chooses not to use the examination eligibility obtained through payment of the fee.

16. Refund Due to Eligibility Verification Failure

Certain courses may require NIDE or its applicable academic, certification, or examination partner to verify a student’s eligibility before final enrolment, based on the eligibility requirements applicable to the selected course.

Such verification may include checking:

  • the student’s prescribed educational qualifications;
  • academic certificates or supporting documents;
  • identity or other mandatory documents;
  • eligibility requirements specified for the selected course;
  • eligibility requirements prescribed by an applicable certification or examination partner; or
  • any other mandatory eligibility condition communicated to the student before final enrolment.

If, after completing the required verification, NIDE determines that the student does not satisfy the mandatory eligibility requirements for the selected course, and the student is therefore unable to proceed with final enrolment, the enrolment shall be cancelled.

In such circumstances, 100% of the eligible amount paid for the affected enrolment shall be refunded within 30 NIDE working days from the date on which the eligibility verification failure is formally confirmed by NIDE, subject to applicable payment procedures.

This refund provision shall not apply where the student:

  • has provided false, forged, inaccurate, misleading, or materially incomplete information or documents;
  • has withheld information relevant to eligibility;
  • becomes ineligible due to circumstances arising after final enrolment; or
  • has already commenced the course, unless otherwise required under applicable law.

For the purpose of this section, “Eligibility Verification Failure” means the formal determination by NIDE, before final enrolment, that the student does not satisfy one or more mandatory eligibility requirements applicable to the selected course.

17. Instalment Default

Where a student has opted for an instalment payment arrangement, all instalments must be paid according to the agreed payment schedule.

If an instalment remains unpaid for more than 15 calendar days from its stipulated due date, NIDE may suspend or cancel the student’s enrolment and associated services.

Where enrolment is cancelled due to payment default, amounts already paid shall ordinarily be non-refundable, subject to applicable law and this Refund Policy.

18. Batch Transfer and Deferment

Students may request a batch transfer or deferment, subject to:

  • management approval;

  • seat availability;

  • academic feasibility;

  • applicable course requirements; and

  • applicable deadlines.

Requests should ordinarily be submitted at least 7 calendar days before the relevant batch commencement date.

Batch transfer or deferment does not constitute a refund.

19. Batch Rescheduling and Change of Delivery Mode

NIDE reserves the right to postpone, reschedule, reorganise, extend, or modify batches, classes, session dates, schedules, or delivery modes due to circumstances including but not limited to:

  • operational requirements;

  • faculty availability;

  • academic requirements;

  • technical issues;

  • public holidays;

  • government directions;

  • regulatory requirements; or

  • force majeure events.

NIDE may also change delivery between offline, online, or hybrid modes where reasonably required.

Such changes shall not ordinarily create an entitlement to a refund, fee reduction, compensation, or damages.

20. Exceptional Circumstances

Refund requests arising from medical, personal, family, or other unavoidable circumstances may be considered by NIDE Management on a case-by-case basis.

Such consideration is discretionary and does not create an automatic entitlement to a refund.

Where an exceptional refund is approved, NIDE shall determine the applicable refundable amount, deductions, and processing timeline.

21. Scholarships, Discounts and Fee Waivers

Scholarships, discounts, concessions, fee waivers, and other special benefits shall apply only where formally approved or communicated by NIDE.

Where a refund is otherwise applicable, the refundable amount shall be calculated based on the actual eligible amount paid and the applicable scholarship, discount, concession, or fee-waiver conditions.

22. Admission Cancellation Due to Misconduct

No refund shall ordinarily be applicable where a student’s enrolment is cancelled due to:

  • disciplinary action;

  • academic misconduct;

  • violation of anti-ragging requirements;

  • substance abuse;

  • fraud or misrepresentation;

  • breach of the Code of Conduct;

  • harassment, threats, or serious misconduct;

  • intellectual-property violations;

  • unauthorised use of Institute resources; or

  • any other material violation of NIDE rules, policies, or regulations.

Any forfeiture of fees shall remain subject to applicable law.

23. Unauthorised Discontinuation or Extended Absence

Failure to attend classes or participate in the course for an extended period without formal approval may result in academic or administrative action in accordance with applicable NIDE policies.

Where enrolment is cancelled due to unauthorised abandonment or discontinuation of the course, no refund shall ordinarily be applicable.

24. Legacy Admissions

Students enrolled in batches commencing on or before January 2025 shall be classified under the applicable Placement Assistance or Placement Guarantee model solely on the basis of formal written communication issued by NIDE through its official email channels.

No verbal assurance, informal communication, WhatsApp message, counsellor statement, or third-party representation shall determine the applicable placement model.

A placement-related refund shall be available only where the student was formally classified under the Placement Guarantee model and satisfies the applicable Placement Policy.

25. Refund Processing Timelines

Different refund categories shall have different processing timelines:

Within 30-45 NIDE working days from confirmation of eligibility failure

The processing timeline applicable to one refund category shall not automatically apply to another refund category.

The timelines stated above refer to processing by NIDE. Actual crediting of the amount may additionally depend on the relevant bank, payment gateway, or financial institution.

26. Calendar Days

Where a period is specified in calendar days, consecutive calendar days shall be counted.

Calendar days include:

  • Saturdays;

  • Sundays;

  • public holidays;

  • declared holidays; and

  • other non-working days.

Unless otherwise expressly stated, the day on which the relevant event occurs shall not be counted, and the following day shall be treated as Day 1.

27. NIDE Working Days

Where a period is specified in NIDE working days, the period shall be calculated strictly according to the applicable official working calendar of NIDE.

NIDE working days shall exclude:

  • Saturdays;

  • Sundays;

  • public holidays;

  • declared holidays;

  • academic holidays; and

  • other days officially designated as non-working days by NIDE.

NIDE’s applicable working calendar shall determine the calculation of all working-day periods under this Policy.

28. Mode of Refund

Approved refunds may be processed through:

  • the original payment method; or

  • bank transfer to the student’s verified bank account.

NIDE may require appropriate documentation, identity verification, bank details, or other information before processing a refund.

Any applicable bank, payment gateway, or transaction-related limitations may affect the time taken for the refunded amount to reflect in the student’s account.

29. Official Refund Communication

All refund requests must be submitted directly to NIDE through its designated official email, i.e., admissions@nideofficial.com.

The student shall provide all information and documentation reasonably required by NIDE to verify the request.

Refund requests submitted through:

  • third-party partners;

  • certification agencies;

  • examination partners;

  • placement partners;

  • counsellors;

  • agents;

  • individual faculty members; or

  • other unauthorised persons

shall not be treated as official refund requests unless subsequently submitted or formally confirmed through NIDE’s authorised communication channel.

30. No Third-Party Refund Authority

No academic partner, certification partner, examination partner, placement partner, consultant, counsellor, agent, trainer, faculty member, or other third party shall have independent authority to:

  • approve a refund;

  • promise a refund;

  • waive a refund condition;

  • alter the applicable refund percentage;

  • change the refund processing timeline;

  • determine refund eligibility; or

  • make any financial commitment binding upon NIDE,

unless such authority has been expressly granted by NIDE in writing.

31. Policy Precedence

This Refund Policy shall be read together with the Student Terms & Conditions and applicable Placement Policy.

For:

  • refund and cancellation matters, this Refund Policy shall apply;

  • Placement Guarantee eligibility and placement-related refunds, the applicable Placement Policy shall apply; and

  • academic, administrative, operational, conduct, and student-related matters, the applicable Student Terms & Conditions and Institute policies shall apply.

Nothing in any third-party communication shall override this Policy unless expressly confirmed by NIDE in writing.

All provisions remain subject to applicable law.

32. Student Acknowledgement

By making a payment, reserving a seat, completing enrolment, accessing NIDE’s LMS or Student Dashboard, attending orientation, or participating in the course, the student acknowledges that they have read, understood, and agreed to this Refund Policy.

The student specifically acknowledges and understands:

  • that NIDE E-Learning Private Limited is solely responsible for collecting and administering NIDE course fees;

  • that students must communicate directly with NIDE for all fee and refund matters;

  • that third parties and partners do not independently control or determine refunds;

  • the distinction between a Reservation Fee and Course Fee;

  • that the Reservation Fee may vary from course to course;

  • the 15-calendar-day pre-commencement cancellation requirement;

  • that an approved pre-commencement refund may involve a deduction of up to 20% of the total Course Fee;

  • that the deduction is calculated with reference to the total Course Fee and not merely the instalment amount paid;

  • that cancellation after Course Commencement ordinarily does not qualify for a refund;

  • that the Placement Guarantee Refund applies only to eligible students covered under the Placement Guarantee model;

  • that the Attendance Deficiency Fee is non-refundable once paid and the applicable examination eligibility process has been completed;

  • the applicable refund processing timelines; and

  • the distinction between calendar days and NIDE working days.

33. Amendments

NIDE reserves the right to revise or update this Refund Policy from time to time to reflect changes in:

  • applicable law;

  • regulations;

  • academic structures;

  • course structures;

  • certification requirements;

  • operational procedures; or

  • Institute policies.

The applicable version of the Policy shall be determined in accordance with the student’s enrolment documentation and applicable policies, subject to applicable law.

34. Management Discretion

For any situation not expressly covered under this Refund Policy, NIDE Management may review and determine the appropriate course of action, subject to applicable law and the applicable course policies.

Any decision made under this provision shall be communicated through an authorised NIDE channel.

35. Governing Law and Jurisdiction

This Refund Policy, and any dispute, claim, or matter arising out of or in connection with the enrolment, payment of fees, cancellation, refund, or interpretation of this Policy, shall be governed by and construed in accordance with the applicable laws of India.

Subject to applicable law, the courts having competent jurisdiction in Bengaluru, Karnataka, India, shall have exclusive jurisdiction over any dispute, claim, or proceeding arising out of or in connection with this Refund Policy or the matters covered herein.

Students agree that any legal proceedings relating to this Policy shall, subject to applicable law, be instituted before the competent courts having jurisdiction in Bengaluru, Karnataka, India.
